HubSpot

We use HubSpot (HubSpot, Inc.) for form handling, marketing automation and analytics. When you submit a form on this site your contact details and any message content are stored in our HubSpot account. HubSpot also sets the cookies listed above to provide analytics and marketing features. HubSpot acts as a data processor for these activities. Our use of HubSpot is governed by HubSpot’s Privacy Policy and Data Processing Addendum (DPA). If you want to review or delete the data HubSpot holds about you, contact us at enquiries@actuality.one and we will assist you.

We retain personal data only as long as necessary for the purposes described above or to comply with legal obligations. Contact data submitted via forms will typically be retained for up to 2 years after the last contact unless you request deletion earlier. If you require a different retention period, contact us at enquiries@actuality.one.

7. Your rights (Data Subject Access Requests)

Depending on your jurisdiction (for example under the UK GDPR or GDPR), you may have rights to access, correct, delete or restrict the processing of your personal data, and the right to object to certain processing or request portability. To exercise any right, contact us at enquiries@actuality.one. We aim to respond to requests within 30 days. If you are not satisfied with our response you may lodge a complaint with your local supervisory authority (for UK residents: the Information Commissioner’s Office (ICO) — https://ico.org.uk/).

8. Security & processors

We use reasonable technical and organisational measures to protect personal data. We engage third-party processors (such as HubSpot) under written contracts that require them to keep data secure and only process it according to our instructions. For HubSpot’s DPA and security information see https://legal.hubspot.com/dpa. If you believe your data has been compromised please contact us immediately at enquiries@actuality.one.

9. International transfers

Data may be transferred to and stored in countries outside your own. Where transfers occur, we will take reasonable steps to ensure an adequate level of protection (for example standard contractual clauses or reliance on HubSpot’s transfer mechanisms where applicable).

10. Changes to this policy

We may update this policy from time to time. The date at the top of this document will reflect the most recent version. Significant changes will be communicated via the website where practical.
